Why Are My Emails Delayed?
Emails should arrive instantly, but sometimes they're delayed. Here's why and how to fix it!

Common Causes of Email Delays
1. Recipient's Server is Slow
The most common reason!
- Their email server is processing slowly
- Their server is doing spam checks
- Their mailbox is full
- Solution: Nothing you can do - it's on their end
2. Large Attachments
Big files take longer to send:
- Files over 10MB can be slow
- Multiple attachments add up
- Solution: Use file sharing links instead (Google Drive, Dropbox)
3. Spam Checks
Security checks can delay emails:
- Incoming mail is filtered for spam, and receiving servers run their own checks
- Suspicious content triggers extra checks
- Solution: Avoid spam trigger words, use plain text
4. Server Queue Backlog
During peak times:
- Mail servers process emails in order
- High volume = longer queue
- Usually resolves within an hour
- Solution: Wait or send during off-peak hours
5. DNS Issues
Technical routing problems:
- DNS records not properly configured
- Domain verification pending
- MX records pointing to wrong server
- Solution: Check DNS settings or contact support
6. Greylisting
Anti-spam technique:
- Recipient's server temporarily rejects first attempt
- Legitimate servers retry automatically
- Can delay by 15-30 minutes
- Solution: Wait - it will arrive on retry
How to Check Email Status
Check Sent Folder
- Open your email app
- Go to Sent folder
- Find the email
- If it's there, it was sent successfully
Check Outbox
- Look in Outbox folder
- If email is stuck there:
- It hasn't been sent yet
- Try clicking "Send/Receive"
- Check your internet connection
Ask the Recipient
- Contact them another way (phone, chat)
- Ask them to check:
- Inbox
- Spam/Junk folder
- Quarantine folder
Quick Fixes
Fix #1: Resend the Email
- Open the sent email
- Click "Forward" or "Resend"
- Send again
Fix #2: Reduce Attachment Size
- Compress large files (ZIP them)
- Or upload to cloud storage
- Share link instead of attaching
Fix #3: Use Plain Text
- Remove HTML formatting
- Remove images
- Use simple, clear text
- Avoid spam trigger words
Fix #4: Don't Send in Bursts
- Receiving servers can slow down mail that arrives from one sender in a large burst
- Space out messages to many recipients
- Bulk and newsletter mail isn't allowed on AtrioMail; use an email marketing service for that

When to Worry
Normal Delays (Don't Worry)
- ✅ 5-15 minutes: Common, especially for first-time recipients
- ✅ 15-30 minutes: Greylisting or spam checks
- ✅ Up to 1 hour: Server queue during peak times
Concerning Delays (Take Action)
- ⚠️ 2-4 hours: Check spam folder, resend
- ⚠️ 4-24 hours: Contact support
- 🚨 Over 24 hours: Email likely failed, resend and contact support

For Bulk Emails
Bulk and cold email are not allowed on AtrioMail: the Acceptable Use Policy bans unsolicited bulk mail and bought or rented lists, and every recipient must have opted in. For newsletters to people who opted in:
- Use an email marketing service (Mailchimp, SendGrid)
- Include an unsubscribe link
- Use an authenticated domain
Technical Checks
Check DNS Records
- Log into https://system.atriomail.com
- Go to Email Domains and open your domain's DNS Setup dialog
- Check that the MX, SPF, DKIM, DMARC and Amazon SES records listed there are all at your DNS host
- Click the refresh icon (circular arrows) on the domain's row to re-check the live records
Check Blacklists
- Visit: mxtoolbox.com/blacklists.aspx
- Enter your domain
- Check if you're blacklisted
- If yes, contact support and include the result
