How to Create Email Templates
Save time and maintain consistency by creating reusable email templates for common messages.
What Are Email Templates?
Email templates are pre-written messages you can reuse for:
- 📧 Common responses - FAQs, thank you notes
- 💼 Business communications - Proposals, invoices
- 📅 Meeting requests - Scheduling, confirmations
- 🎉 Event invitations - Announcements, reminders
- 📢 Newsletters - Regular updates
Creating Templates in Gmail
Enable Templates:
- Click Settings (⚙️) → See all settings
- Go to Advanced tab
- Find Templates and enable it
- Click Save Changes
Create a Template:
- Click Compose
- Write your template message
- Add subject line
- Click three dots (⋮) → Templates
- Click Save draft as template
- Click Save as new template
- Name your template
Use a Template:
- Click Compose
- Click three dots (⋮) → Templates
- Select your template
- Customize if needed
- Send!
Creating Templates in Outlook
Create Template:
- Click New Email
- Write your template message
- Click File → Save As
- Choose Outlook Template (*.oft)
- Name and save template
Use Template:
- Click New Items → More Items
- Choose Choose Form
- Select User Templates in File System
- Double-click your template
- Customize and send
Creating Templates in Apple Mail
Create Template:
- Create new email with template content
- Save as draft
- Create folder called "Templates"
- Move draft to Templates folder
Use Template:
- Open template from Templates folder
- Copy content
- Paste into new email
- Customize and send
