How to Set Up Vacation Responder (Out of Office)

What is Vacation Responder?
Vacation responder (also called Out of Office or Auto-Reply) automatically sends a reply to anyone who emails you, letting them know you're away.
When to Use:
- 🏖️ Vacation/Holiday
- 🏥 Medical leave
- ✈️ Business trip
- 📚 Conference/Training
- 🎓 Extended leave
Setting Up Vacation Responder
Step 1: Access Settings
- Sign in to your webmail, or open your mail app
- Go to Settings
- Look for a vacation or out-of-office setting (it may be called "Vacation Responder", "Auto-Reply" or "Out of Office")
Step 2: Configure Settings
Turn it on and fill in what your webmail or app offers, which usually includes:
- Enable: Turn on vacation responder
- Start date and end date: if the option is offered
- Subject: Email subject line
- Message: Your auto-reply text
Save the setting when you are done.
Step 3: Write Your Message
Thank you for your email. I am currently out of the office from [start date] to [end date] with limited access to email.
I will respond to your message when I return on [return date].
For urgent matters, please contact [colleague name] at [email].

Best Practices
Do Include:
- ✅ Dates you'll be away
- ✅ When you'll return
- ✅ Alternative contact for urgent matters
- ✅ Expected response time
- ✅ Professional tone
Don't Include:
- ❌ Too much personal detail
- ❌ Exact vacation location
- ❌ Home address
- ❌ Unprofessional language

Options You May See
Auto-reply options differ between webmail interfaces and mail apps. Depending on what you use, you may be able to choose:
- Who gets the reply: everyone, or a narrower group
- How often: once per sender, or every message (once per sender is usually the better choice)
- Exceptions: so mailing lists and automated messages do not get a reply
If your webmail or app does not offer one of these, it simply replies to everyone who writes to you.
Multiple Languages
If you work internationally, consider including your message in multiple languages:
Spanish: Estoy fuera de la oficina hasta [fecha]...
French: Je suis absent du bureau jusqu'au [date]...
Disabling Vacation Responder
- Go back to the same settings
- Find the vacation or out-of-office setting
- Turn it off and save
- If you set an end date and your webmail or app supports it, it stops on that date
Common Mistakes

- ❌ No alternative contact
- ❌ Too much personal info
- ❌ Leaving it on in two places at once (webmail and a mail app)
- ❌ Unprofessional message
