How to Use Email Filters and Rules

Automatically organize, sort, and manage your emails with powerful filters and rules!

Why Use Email Filters?

Common Filter Examples

1. Organize by Sender

Use case: Move all emails from your boss to a "Priority" folder

  • Condition: From: boss@company.com
  • Action: Move to folder "Priority"
  • Result: Never miss important emails!

2. Sort Newsletters

Use case: Keep newsletters out of your inbox

  • Condition: Subject contains: "newsletter" OR "unsubscribe"
  • Action: Move to folder "Newsletters"
  • Result: Clean inbox, read newsletters when you want

3. Auto-Delete Spam

Use case: Delete emails from known spammers

  • Condition: From: spam@example.com
  • Action: Delete permanently
  • Result: Never see those emails again

4. Forward Important Emails

Use case: Forward invoices to your accountant

  • Condition: Subject contains: "invoice"
  • Action: Forward to accountant@company.com
  • Result: Automatic invoice forwarding

How to Create Filters

In Gmail App

  1. Open an email you want to filter
  2. Click the three dots (⋮)
  3. Select "Filter messages like this"
  4. Set your conditions
  5. Click "Create filter"
  6. Choose actions
  7. Click "Create filter"

In Outlook

  1. Right-click an email
  2. Select "Rules""Create Rule"
  3. Set conditions (from, subject, etc.)
  4. Choose actions (move, delete, forward)
  5. Click "OK"

In Apple Mail

  1. Go to MailPreferences
  2. Click "Rules" tab
  3. Click "Add Rule"
  4. Name your rule
  5. Set conditions and actions
  6. Click "OK"

By Sender

  • From: specific@email.com
  • From: anyone@domain.com
  • From contains: "company"

By Subject

  • Subject is: "Weekly Report"
  • Subject contains: "urgent"
  • Subject starts with: "[ALERT]"

By Content

  • Body contains: "invoice"
  • Has attachment
  • Attachment name contains: ".pdf"

By Recipient

  • To: me@domain.com
  • CC: team@domain.com
  • BCC: (if visible)

Filter Actions

Organization Actions

  • Move to folder
  • Copy to folder
  • Apply label/tag
  • Mark as read/unread

Forwarding Actions

  • Forward to address
  • Redirect to address

Advanced Filter Examples

Multiple Conditions (AND)

Use case: Only urgent emails from your boss

  • From: boss@company.com
  • AND Subject contains: "urgent"
  • Action: Mark as important + Move to Priority

Multiple Conditions (OR)

Use case: Emails from any team member

  • From: john@company.com
  • OR From: jane@company.com
  • OR From: bob@company.com
  • Action: Move to "Team" folder

Exclude Conditions

Use case: All emails except from specific sender

  • From: anyone
  • NOT From: important@company.com
  • Action: Move to "General"
⚠️ Warning: Be careful with delete filters! Test them first with "move to folder" to make sure they work correctly.

Best Practices

DO:

  • ✅ Test filters before enabling
  • ✅ Start simple, add complexity later
  • ✅ Name filters descriptively
  • ✅ Review filters regularly
  • ✅ Use folders to organize

DON'T:

  • ❌ Create too many filters at once
  • ❌ Use "delete" without testing first
  • ❌ Make filters too broad
  • ❌ Forget to update old filters

Managing Your Filters

Edit a Filter

  1. Go to email settings
  2. Find "Filters" or "Rules"
  3. Click the filter to edit
  4. Make changes
  5. Save

Delete a Filter

  1. Go to filter settings
  2. Find the filter
  3. Click delete/remove
  4. Confirm

Disable Temporarily

  1. Go to filter settings
  2. Uncheck "Enable" or toggle off
  3. Filter stays but doesn't run

Troubleshooting

Filter Not Working

  • Check if filter is enabled
  • Verify conditions are correct
  • Make sure there are no typos
  • Check filter order (first match wins)

Too Many Emails Filtered

  • Conditions might be too broad
  • Add more specific conditions
  • Use AND instead of OR

Important Emails Being Filtered

  • Add exception rules
  • Reorder filters (important ones first)
  • Use "NOT" conditions
