What to Do If Your Email Is Hacked

Quick action steps to secure your email account if it's been compromised.

🚨 Act Fast! The sooner you act, the less damage can be done. Follow these steps immediately.

Signs Your Email Is Hacked

  • You can't log in with your password
  • Emails in your sent folder you didn't send
  • Friends receiving spam from your account
  • Password reset emails you didn't request
  • Unknown devices logged into your account
  • Your contacts report strange emails from you

Immediate Actions (Do These NOW)

Step 1: Change Your Password

  1. If you manage the account in the control panel:
    • Go to system.atriomail.com
    • Open Email Mailboxes and open the affected mailbox
    • Click Reset Password
    • Create a strong, unique password
  2. If you only use the mailbox and someone else manages it:
    • Ask the person who manages your email account to reset the password for you
  3. If you can't log in to the control panel:
    • Contact support through the live chat
    • We'll help you regain access
💡 Password Tips:
  • At least 12 characters
  • Mix of letters, numbers, symbols
  • Not used anywhere else
  • Not related to personal info

Step 2: Check Email Settings

Hackers often change settings to maintain access:

  1. In the control panel, check Email Forwarders and Email Aliases for addresses you didn't create
  2. In your webmail and mail apps, check for forwarding rules and filters
  3. Look for auto-reply messages
  4. Check signature settings
  5. Remove any you didn't create

Step 3: Review Account Activity

  1. Check sent emails for spam
  2. Look for deleted emails (check trash)
  3. Check which phones and computers have the account set up, and remove it from any device you don't recognise
  4. Update the password in every mail app you use

Step 4: Scan for Malware

  1. Run a full antivirus scan on your computer
  2. Check your phone for suspicious apps
  3. Update all software and operating systems

Secure Other Accounts

If you used the same password elsewhere:

  1. Change passwords on all accounts immediately
  2. Prioritize:
    • Banking and financial accounts
    • Social media
    • Shopping sites
    • Work email
⚠️ Never reuse passwords! Each account should have a unique password.

Two-Factor Authentication

  1. Two-factor authentication is required to sign in to the AtrioMail control panel, with a code from an authenticator app or a code sent by email
  2. It protects the control panel only, not webmail or mail apps, so a strong, unique mailbox password is what protects your mail
  3. Keep your two-factor recovery codes in a safe place (see the Two-Factor Auth page)
  4. Turn on two-factor authentication for your other important accounts too

Notify Your Contacts

Let people know your account was compromised:

  1. Send an email to your contacts
  2. Warn them about potential spam from your account
  3. Tell them not to click links in recent emails
  4. Apologize for any inconvenience

Sample Message:

"Hi everyone, My email account was recently compromised. If you received any suspicious emails from me in the past few days, please delete them and don't click any links. My account is now secure. Sorry for any inconvenience! Best regards"

Monitor Your Account

For the next few weeks:

  • Check your sent folder daily
  • Check your forwarders, aliases and filters again
  • Watch for unusual emails
  • Monitor your bank statements

Prevent Future Hacks

Use Strong Passwords

  • 12+ characters
  • Unique for each account
  • Use a password manager

  • Two-factor authentication, wherever it is offered
  • Login alerts, wherever they are offered

Stay Vigilant

  • Don't click suspicious links
  • Verify sender addresses

  • Use antivirus software
