How to Set Up Email in Outlook (Windows/Mac)

Configure your AtrioMail email in Microsoft Outlook for Windows or Mac.

📋 What you'll need: Your email address and password
✅ Works with: Outlook 2016, 2019, 2021, Microsoft 365
🔎 Server settings: also shown on the Connect your mail client card on the Dashboard of the control panel

Before You Start

Make sure you have:

  • Microsoft Outlook installed
  • Your full email address (you@yourdomain.com)
  • Your email password
  • Internet connection

Method 1: Manual Setup (Recommended)

Entering the settings yourself is the most reliable way to connect Outlook.

Step 1: Start Manual Setup

  1. Launch Microsoft Outlook
  2. If this is your first account, you'll see the welcome screen; if not, go to FileAdd Account
  3. Enter your email address
  4. Click "Advanced options"
  5. Check "Let me set up my account manually"
  6. Click "Connect"

Step 2: Choose Account Type

  1. Select "IMAP" (recommended)
  2. Click "Connect"

Step 3: Incoming Mail Settings

Enter these settings exactly:

  • Server: mail.atriomail.com
  • Port: 993
  • Encryption: SSL/TLS
  • Username: Your full email address
  • Password: Your email password

Step 4: Outgoing Mail Settings

Enter these settings:

  • Server: mail.atriomail.com
  • Port: 587
  • Encryption: STARTTLS
  • Username: Your full email address
  • Password: Your email password

Step 5: Complete Setup

  1. Click "Next"
  2. Wait for Outlook to test the connection
  3. Click "Done" when successful
💡 Pro Tip: Use IMAP instead of POP3 to sync emails across all your devices!

Method 2: Let Outlook Look Up the Settings

Outlook can try to find the settings on its own. This does not work for every domain, so check the result:

  1. Go to FileAdd Account
  2. Enter your email address and click "Connect"
  3. Select "IMAP/POP" if prompted, then enter your password
  4. If Outlook fills in settings, make sure both servers are mail.atriomail.com with the ports above
  5. If it fails, or shows a different server, use Method 1

Test Your Email

  1. Send a test email to yourself
  2. Check if you receive it
  3. Try replying to the test email
  4. Verify sent items appear in Sent folder

Troubleshooting

Can't Connect to Server

  • Verify server name: mail.atriomail.com (not a different subdomain like "imap.")
  • Check ports: 993 (IMAP), 587 (SMTP)
  • Ensure username is your FULL email address
  • Try retyping your password

Authentication Failed

  • Double-check your password
  • Make sure Caps Lock is off
  • Reset your password if needed
  • Check if account is active

Emails Not Syncing

  • Right-click inbox → Click "Update Folder"
  • Go to Send/Receive → Send/Receive All Folders
  • Check internet connection
  • Restart Outlook
⚠️ Common Mistake: Using a different subdomain (like "smtp.") instead of the documented server: both incoming AND outgoing use mail.atriomail.com!

Advanced Settings

Change Sync Frequency

  1. Go to FileAccount Settings
  2. Select your account → Change
  3. Click More Settings
  4. Go to Advanced tab
  5. Adjust "Check for new messages every X minutes"

Keep Emails on Server

  1. Account Settings → More Settings
  2. Go to Advanced tab
  3. Check "Leave a copy of messages on the server"
  4. Set how long to keep them
