Why Do My Emails Go to Spam?

If your emails are landing in spam folders, here's how to fix it:

Common Reasons & Solutions

1. Your Domain's DNS Records Are Incomplete

The Fix:

  1. Log into https://system.atriomail.com
  2. Go to Email Domains and open your domain's DNS Setup dialog
  3. Make sure every record listed there (MX, SPF, DKIM, DMARC and the Amazon SES verification records) is added at your DNS host
  4. Click the refresh icon (circular arrows) on the domain's row to re-check the live records

2. You're Sending Bulk or Unsolicited Mail

The Fix:

  • Bulk and cold email are not allowed on AtrioMail: the Acceptable Use Policy bans unsolicited bulk mail and bought or rented lists, and every recipient must have opted in
  • Because all customers share the platform's sending reputation, we protect it for everyone
  • For newsletters and marketing campaigns, use a dedicated email marketing service

3. Your Email Content Triggers Spam Filters

Avoid these in your emails:

  • ALL CAPS IN SUBJECT LINES
  • Too many exclamation marks!!!
  • Words like "FREE", "WINNER", "CLICK HERE"
  • Too many links
  • Large images with little text

4. Recipients Haven't Added You to Contacts

Ask recipients to:

  1. Add your email to their contacts
  2. Mark your email as "Not Spam" if it's in spam
  3. Move your email to their inbox
💡 Pro Tip: Send a test email to yourself at Gmail, Yahoo, and Outlook to see where it lands!

Best Practices to Avoid Spam

  • Use a clear, descriptive subject line
  • Include your real name and company
  • Keep a good text-to-image ratio
  • Don't use URL shorteners

Need Help?

You can check your domain's records yourself with the DNS Checker in the control panel. If mail still lands in spam, contact support through the live chat in the control panel and include an example message.
