How to Set Up Email in Apple Mail (Mac)

Configure your AtrioMail email in Apple Mail on your Mac. Simple, native, and powerful!

Before You Start

Make sure you have:

  • Your email address (you@yourdomain.com)
  • Your email password
  • Mac running macOS

Method 1: Automatic Setup (Try This First)

Step 1: Open Mail App

  1. Open Mail app (in Applications folder)
  2. If this is your first account, you'll see the welcome screen
  3. If not, go to MailAdd Account...

Step 2: Choose Account Type

  1. You'll see options like iCloud, Google, etc.
  2. Scroll down and click "Other Mail Account..."
  3. Click "Continue"

Step 3: Enter Your Information

  1. Fill in the form:
    • Name: Your name (appears when you send emails)
    • Email Address: Your full email address
    • Password: Your email password
  2. Click "Sign In"

Step 4: Wait for Auto-Configuration

  1. Mail will try to configure automatically
  2. If successful, you're done! ✅
  3. If it fails, continue to Manual Setup below

Method 2: Manual Setup

Step 1: Start Manual Configuration

  1. After entering your email and password
  2. If auto-config fails, you'll see server settings
  3. Or go to MailPreferencesAccounts

Step 2: Incoming Mail Server (IMAP)

Enter these settings:

Account Type: IMAP
Mail Server: mail.atriomail.com
User Name: Your full email address
Password: Your email password

Step 3: Outgoing Mail Server (SMTP)

  1. Click "SMTP Server" dropdown
  2. Select "Edit SMTP Server List..."
  3. Click the + button to add new server
  4. Enter these settings:
Server Name: mail.atriomail.com
User Name: Your full email address
Password: Your email password

Step 4: Advanced SMTP Settings

  1. Click the "Advanced" tab
  2. Configure these settings:
Port: 587
Use TLS/SSL: ✓ (checked)
Authentication: Password
Allow insecure authentication: ☐ (unchecked)

Step 5: Advanced IMAP Settings

  1. Go back to Account Information tab
  2. Click "Advanced" tab
  3. Configure:
Port: 993
Use TLS/SSL: ✓ (checked)
Authentication: Password

Step 6: Save and Test

  1. Click "Save"
  2. Mail will verify the settings
  3. If successful, you're done!
✅ Success! Your email is now configured in Apple Mail!

Customize Apple Mail

Set Up Signatures

  1. Go to MailPreferences
  2. Click "Signatures" tab
  3. Select your account
  4. Click + to add new signature
  5. Type your signature
  6. Choose when to use it

Create Rules/Filters

  1. Go to MailPreferences
  2. Click "Rules" tab
  3. Click "Add Rule"
  4. Set conditions and actions
  5. Click "OK"

Enable VIP

  1. Right-click on a sender's name
  2. Select "Add to VIPs"
  3. Get notifications for their emails

Keyboard Shortcuts

  • ⌘N: New message
  • ⌘R: Reply
  • ⇧⌘R: Reply all
  • ⇧⌘D: Send message
  • ⌘Delete: Delete message
  • ⌘1/2/3: Switch mailboxes

Troubleshooting

Cannot Verify Account Name or Password

  • Check server name: mail.atriomail.com
  • Verify username is FULL email address
  • Try retyping password
  • Make sure Caps Lock is off

Connection Doctor

  1. Go to WindowConnection Doctor
  2. Shows status of all mail servers
  3. Red dot = problem
  4. Green dot = working

Rebuild Mailbox

If emails aren't showing correctly:

  1. Select the mailbox
  2. Go to MailboxRebuild
  3. Wait for rebuild to complete
⚠️ Common Issue: If you see "Cannot send message using server", check that SMTP authentication is enabled and port is 587.
