How to Set Up Email in Apple Mail (Mac)

Before You Start
Make sure you have:
- Your email address (you@yourdomain.com)
- Your email password
- Mac running macOS
Method 1: Automatic Setup (Try This First)
Step 1: Open Mail App
- Open Mail app (in Applications folder)
- If this is your first account, you'll see the welcome screen
- If not, go to Mail → Add Account...
Step 2: Choose Account Type
- You'll see options like iCloud, Google, etc.
- Scroll down and click "Other Mail Account..."
- Click "Continue"
Step 3: Enter Your Information
- Fill in the form:
- Name: Your name (appears when you send emails)
- Email Address: Your full email address
- Password: Your email password
- Click "Sign In"
Step 4: Wait for Auto-Configuration
- Mail will try to configure automatically
- If successful, you're done! ✅
- If it fails, continue to Manual Setup below
Method 2: Manual Setup
Step 1: Start Manual Configuration
- After entering your email and password
- If auto-config fails, you'll see server settings
- Or go to Mail → Preferences → Accounts
Step 2: Incoming Mail Server (IMAP)
Enter these settings:
Account Type: IMAP
Mail Server: mail.atriomail.com
User Name: Your full email address
Password: Your email password
Mail Server: mail.atriomail.com
User Name: Your full email address
Password: Your email password
Step 3: Outgoing Mail Server (SMTP)
- Click "SMTP Server" dropdown
- Select "Edit SMTP Server List..."
- Click the + button to add new server
- Enter these settings:
Server Name: mail.atriomail.com
User Name: Your full email address
Password: Your email password
User Name: Your full email address
Password: Your email password
Step 4: Advanced SMTP Settings
- Click the "Advanced" tab
- Configure these settings:
Port: 587
Use TLS/SSL: ✓ (checked)
Authentication: Password
Allow insecure authentication: ☐ (unchecked)
Use TLS/SSL: ✓ (checked)
Authentication: Password
Allow insecure authentication: ☐ (unchecked)
Step 5: Advanced IMAP Settings
- Go back to Account Information tab
- Click "Advanced" tab
- Configure:
Port: 993
Use TLS/SSL: ✓ (checked)
Authentication: Password
Use TLS/SSL: ✓ (checked)
Authentication: Password
Step 6: Save and Test
- Click "Save"
- Mail will verify the settings
- If successful, you're done!
✅ Success! Your email is now configured in Apple Mail!
Customize Apple Mail
Set Up Signatures
- Go to Mail → Preferences
- Click "Signatures" tab
- Select your account
- Click + to add new signature
- Type your signature
- Choose when to use it
Create Rules/Filters
- Go to Mail → Preferences
- Click "Rules" tab
- Click "Add Rule"
- Set conditions and actions
- Click "OK"
Enable VIP
- Right-click on a sender's name
- Select "Add to VIPs"
- Get notifications for their emails
Keyboard Shortcuts
- ⌘N: New message
- ⌘R: Reply
- ⇧⌘R: Reply all
- ⇧⌘D: Send message
- ⌘Delete: Delete message
- ⌘1/2/3: Switch mailboxes
Troubleshooting
Cannot Verify Account Name or Password
- Check server name: mail.atriomail.com
- Verify username is FULL email address
- Try retyping password
- Make sure Caps Lock is off
Connection Doctor
- Go to Window → Connection Doctor
- Shows status of all mail servers
- Red dot = problem
- Green dot = working
Rebuild Mailbox
If emails aren't showing correctly:
- Select the mailbox
- Go to Mailbox → Rebuild
- Wait for rebuild to complete
⚠️ Common Issue: If you see "Cannot send message using server", check that SMTP authentication is enabled and port is 587.
