How to Migrate Your Email to AtrioMail

Moving from another provider? AtrioMail has an IMAP migration tool built into the control panel. It copies your mail from the old server into your new mailbox, and it has no charge: you pay only for the mailboxes you migrate into.

What gets migrated

  • Moved: your email messages, in their existing folder structure, with the original date on every message.
  • Not moved: contacts, calendars, tasks, mail rules and signatures. The tool moves mail only. Export contacts and calendars from your old provider separately and keep them in the app you use for them, and recreate rules and signatures in your mail app.

Before you start

  • Your AtrioMail domain is added under Email Domains, and the destination mailbox exists under Email Mailboxes. Each mailbox is billed from the moment it is created.
  • You know the old server's IMAP host name and can sign in to the old mailbox over IMAP with a password (or an app password, see below).
  • Keep your old account active until you have checked that everything arrived.

Which old providers work

The tool copies mail from any server that allows IMAP sign-in with a password, such as typical hosting mail on cPanel, Plesk or DirectAdmin servers.

  • Gmail and Google Workspace: sign in with an app password instead of your normal password. Google only offers app passwords when 2-Step Verification is turned on, and a Workspace admin can block them.
  • Yahoo Mail and iCloud Mail: create an app-specific password in your Yahoo or Apple account and use it in the migration.
  • Microsoft 365, Exchange Online, Outlook.com, Hotmail and Live.com: Microsoft no longer allows password sign-in over IMAP, so moving these mailboxes needs a different route. Contact support before you plan this move.

Method 1: The Email Migrations tool (recommended)

  1. Sign in to the control panel at system.atriomail.com.
  2. Open Email Migrations in the Tools section of the menu.
  3. Create a new migration and enter the old server's IMAP details (host, email address and password or app password) and the AtrioMail mailbox the mail should go into.
  4. Before the migration starts, the panel tests the sign-in for both the old and the new mailbox, so a wrong password shows up in seconds.
  5. If you want to check the setup first, run the migration as a dry run. You can also schedule it for a later time.
  6. Start the migration and follow its status in Email Migrations.

Moving many mailboxes

Bulk Email Migrations lists many mailboxes from the same old server in one job and tracks how many completed or failed. Every account needs its own password. If you are moving a large number of mailboxes, contact support to plan it with us first.

Method 2: Copy with a mail app (for non-Microsoft sources)

If you prefer, you can copy mail yourself with a desktop mail app such as Thunderbird or Apple Mail.

  1. Add your old account to the app using IMAP.
  2. Add your new AtrioMail mailbox using IMAP:
    • Incoming (IMAP): mail.atriomail.com, port 993, SSL/TLS
    • Outgoing (SMTP): mail.atriomail.com, port 587, STARTTLS
    • Username: your full email address
  3. Wait for both accounts to finish syncing.
  4. Select the messages in a folder of the old account and copy them (drag, or right-click and Copy To) into the matching folder of the new mailbox.
  5. Repeat for each folder, and keep the app open until the upload finishes.

This method depends on your own connection and computer, so large mailboxes take longer. The Email Migrations tool runs on our side instead.

After the migration

  1. Sign in to webmail at https://system.atriomail.com/webmail and check that your folders and messages are there.
  2. Send and receive a test message.
  3. Update your domain's MX record when you are ready for new mail to arrive at AtrioMail. The records are listed in the domain's DNS Setup dialog under Email Domains. DNS changes can take up to 48 hours to be seen everywhere.
  4. Set up your mail apps with the new settings (see the Connect your mail client card on the Dashboard).
  5. Keep the old account until you are sure no more mail is arriving there. Do not delete it before you have checked that everything moved.

Common issues

The sign-in test fails

  • Check the old server's IMAP host name and the password.
  • For Gmail, Google Workspace, Yahoo and iCloud, use an app password, not your normal password.
  • Make sure IMAP access is allowed on the old account.

Some messages seem to be missing

  • Check every folder in the new mailbox, including archive folders.
  • Compare the folder list with the old account.

The migration is taking a long time

  • Large mailboxes take longer. You can schedule the migration for a quieter time.
